Privacy Policy

This Privacy Policy explains how MatchRail, Inc. (“MatchRail,” “we,” or “us”) collects, uses, and protects information when you use MatchRail (the “Service”). We built MatchRail to work from your own accounts on your behalf, so we access only what we need to do that job.

What we collect

Account information — your name, business name, email, and sign-in details.
Purchase data — from the accounting and payment tools you connect (QuickBooks, Xero and Stripe): purchase orders, bills, their line items and totals, the vendors associated with them, and the payments that settled them.
Receipts you record — what you enter as received against a purchase order. Neither QuickBooks Online nor Xero carries a goods-receipt document, so this one is created and stored in the Service rather than read from a ledger. MatchRail does not connect to a mailbox and does not read your email.
Usage data — basic information about how you use the Service, used to keep it running and improve it.

How we use it

To match each bill against its purchase order and its receipt, and to record the verdict.
To propose and, once you approve it, post a correction back to your connected ledger.
To keep an append-only audit trail of every decision the Service makes on your behalf.
To provide, secure, and improve the Service.
To communicate with you about your account.

We do not sell your personal data, and we do not use your purchase data to train models for anyone else. The matching itself is arithmetic — no language model reads your documents to decide whether they agree.

Connected accounts

When you connect a third-party account, you authorize MatchRail to access it through that provider’s official interface, using the narrowest permissions the feature needs. You can disconnect an integration at any time from your settings, which stops future access.

Sharing

We share data only with service providers that help us operate MatchRail (such as hosting and payment processing) under agreements that protect it, or when required by law. MatchRail sends nothing to your vendors: the only outbound write it makes is a correction you approved, posted back into your own ledger.

Retention

We keep your data for as long as your account is active and as needed to provide the Service. When you close your account, we delete or de-identify your data within a reasonable period, except where we must retain it to meet legal obligations.

Security

We use technical and organizational measures to protect your data, including encryption in transit and access controls. No system is perfectly secure, but we work to keep your information safe and to limit access to what each feature requires.

Your rights
